Privacy Policy
Effective date: September 25, 2026
This Privacy Policy explains how Close Ledger ("Close Ledger," "we," "us," or "our") collects, uses, shares, and protects information when you use our website, month-end close platform, and related integrations.
Google API Limited Use disclosure. Close Ledger's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
1. Information we collect
Account and organization information
We collect information you provide when creating or administering an account, such as your name, business email address, organization name, role, authentication information, and subscription details.
Close and financial information
We process information you choose to enter or upload, including close tasks, comments, links, financial statements, account mappings, supporting documents, assignments, due dates, activity history, and related business records.
Google Workspace information
When you use the Close Ledger Gmail add-on, it accesses only the Gmail message you currently open through the add-on and the eligible attachments you select or submit. Close Ledger uses that information to create a Personal To-Do in your Close Ledger account and display its supporting content. We do not use the integration to scan your mailbox, read unrelated messages, modify messages, or delete messages.
Technical information
We may collect device, browser, IP address, login, security, audit, diagnostic, feature-use, and similar technical data needed to operate, secure, and improve the service.
2. How we use information
- Provide and maintain Close Ledger and its integrations.
- Create tasks and supporting records requested by users.
- Process financial information and generate user-requested insights.
- Authenticate users, enforce permissions, and protect accounts.
- Provide support, communicate service information, and process billing.
- Diagnose errors, monitor reliability, and meet legal obligations.
3. Artificial intelligence and Google user data
Close Ledger does not operate a self-hosted AI model. Close Ledger uses the OpenAI API Platform, a third-party AI service, for optional Close Ledger features such as Financial Insights, Ask Financial AI, and close-summary generation.
Those optional AI features may send financial information and close-process context that an authorized user submits within Close Ledger to OpenAI to generate the requested response.
Google Workspace data obtained through the Gmail add-on is not sent to OpenAI or any other third-party AI provider as part of the Gmail-to-task workflow. We do not use, transfer, or retain Google Workspace API data to develop, train, or improve generalized or non-personalized artificial intelligence or machine-learning models. We do not allow humans to read Google user data except when the user affirmatively authorizes support access, when needed for security or abuse investigation, when required by law, or when the data has been aggregated and anonymized for internal operations in a manner permitted by Google policy.
OpenAI states that data submitted through its business and API offerings is not used to train its models by default. Close Ledger does not opt Google Workspace data into model training.
4. How we share information
We do not sell personal information or Google user data. We disclose information only as needed to operate the service, at your direction, or as legally required. Service providers may include hosting, database, email delivery, payment processing, monitoring, and—only for the separate optional AI features described above—OpenAI. These providers receive only the information reasonably necessary to perform their services and are subject to contractual or policy restrictions.
5. Data retention and deletion
We retain information while your account is active and as reasonably necessary to provide the service, maintain business and audit records, resolve disputes, enforce agreements, and comply with law. Authorized users may delete task content and attachments through available product controls. You may request account or personal-data deletion by contacting us. Backup copies may remain for a limited period before being overwritten under our backup practices.
6. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication, encrypted network transport, tenant-based authorization, security logging, and restricted production access. No method of storage or transmission is completely secure.
7. Your choices and rights
You may review or update account information through Close Ledger, disconnect the Gmail integration, revoke Close Ledger's Google access through your Google Account security settings, or request access, correction, export, or deletion by contacting us. Applicable law may provide additional rights.
8. Cookies and analytics
We use cookies and similar technologies for authentication, security, preferences, and service operation. Our public website may use analytics to understand general website use. We do not use Google Workspace API data for advertising.
9. Children's privacy
Close Ledger is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy as our service or legal obligations change. We will post the updated policy here and revise the effective date. We will provide additional notice when required by law.
